Time off policies let you track leave, approve requests and keep balances accurate for every worker, whether they get 20 days a year or unlimited leave.
The default policy
Every new contract comes with a Default Time Off policy. It lets workers submit requests, and lets you approve or decline them and mark the time as paid or unpaid. The default policy is non-accrual and always has unlimited annual days.
Choose a policy type
Type | Best for | How it works |
Accrual | Annual leave or PTO | Balances build up over time, with carry-over and tenure rules |
Non-accrual | Sick, parental or bereavement leave | Tracks requests with limited or unlimited annual days, and no balance builds up |
Create a policy
Go to Company Settings > Time Off Policies and click Add New.
Give the policy a name, such as "PTO UAE", and choose the type.
For accrual policies: enter the number of days entitled per year, choose the working days, and set how often time off accrues and how carry-over works. You can also add extra days based on tenure.
For non-accrual policies: choose whether annual days are limited or unlimited.
Set your submission rules, such as the minimum and maximum request length or a waiting period for new joiners.
Save the policy.
Assign workers
To assign several workers at once: go to Company Settings > Time Off Policies > Manage Workers, add your workers and save. For accrual policies, choose the accrual start date as well.
To assign one worker: open their contract, go to the Time Off tab and click Assign Policy. For accrual policies, choose the start date and preview their projected balance before you save.
Each worker can have only one policy of each type. The exception is the "Other" type, which allows more than one policy.
Manage policies and balances
Open the worker's contract, go to the Time Off tab and use the three-dot menu to:
Change Policy, including switching back to Default Time Off
Unassign a policy and choose one to replace it
Adjust Time to add or deduct days from a balance
Changing or unassigning a policy doesn't affect time off the worker has already taken.
Good to know
Carried-over days are used before newly accrued days. They carry over either on 1 January or 12 months after the worker's earning start date, depending on the policy.
When you edit an accrual policy, you choose whether the change applies only to future balances or to everyone on the policy.
Time off policies can't be assigned to Milestone contracts.
For usage and balances, go to Reports > Generate Report and select Time Off or Time Off Balance.
