Follow these steps to connect your HiBob account with RemotePass
1. General Setup
Before You Start
Administrator access — only HiBob admins can generate an API key and manage permissions.
Email alignment — ensure the home or work email in HiBob matches the email in RemotePass (if the worker already exists).
Step 1 – Configure HiBob
Step 2 – Connect to RemotePass
In RemotePass, go to Integration Settings → HiBob.
Enter your HiBob ID and API key and click Continue.
You are all set!
2. Worker Data Sync
Enabling the Worker Data Sync from HiBob to RemotePass
Go to HiBob integration page and click Enable for Worker Sync.
Review the pre-defined field mappings for worker data sync and click continue. (You may adjust or add more mappings at this step for faster contract creation)
Click Continue, and you are ready for worker sync!
Creating a Contract with HiBob Worker Data
Select the type of the contract that you want to create. (People successfully imported from HiBob will be listed)
Click complete button and complete the form that is already filled by HiBob.
Click Create.
3. Enabling Time-off Sync
1. Go to HiBob integration page and click Enable for Time-off Sync.
2. Select the contract types you want to include in the sync. Only the selected contract types will have their time off synced from HiBob.
3. Click Continue — the sync begins and the integration is enabled.
4. You are all set!
5. Configure which policies affect compensation
In Module Settings under Manage time-off policies sync, choose which policies should be paid out. These settings are used later for termination calculations. For example, only Annual Leave enabled as a paid leave policy in the image below.
Frequently Asked Questions
Worker Sync
Do I need to configure field mapping myself?
Usually no. The native integration comes pre-filled and ready to use. However, if you have custom needs, you can always update the mapping. We still recommend reviewing it during setup and taking action if necessary.
Can I choose which workers are included in Worker Sync?
Yes. Only workers with the Remotepass Employment Type field filled in HiBob (e.g., Contractor, DE, or EOR) will be imported into RemotePass.
What if I disable the integration?
Turning off Worker Sync stops future updates but does not remove past synced amendment entries. Workers in the Imported Workers list (not yet converted to contracts) will be deleted, while any contracts you’ve already created will remain. Fully disconnecting HiBob halts all integration features.
Time-off Sync
Do I need to align all leave policies before enabling the sync?
No. We display your time off policies and worker balances on HiBob as it is. You can see all of your policies (for synced workers) under the Company Settings> Time off Policies > HiBob Policies tab.
What if I disable the integration?
Turning off the time-off sync stops future updates. If you enable it again, system would pick up the current balance and policies of the worker.
Why the balance displayed on RemotePass is different than HiBob?
RemotePass displays the HiBob balance as of today. Due to accrual rules or pro-rated calculations and future-dated approved requests, there might be differences between the displayed balances on HiBob and RemotePass. To match these figures in HiBob, run the "Point in time balance" report and see the as of today balances. We get and display the the worker balance future-dated once you select the termination date, on the termination form.
What if a worker edits or cancels the time-off request on HiBob?
It would be automatically updated to RemotePass as edited or canceled.
