How to set up your Payroll Agent

A
Written by Adrian Quinn

Before you start

You need a payroll policy set up in RemotePass before you can configure the Payroll Agent. The agent pulls from your existing policy, so this needs to be in place first.

Your agent also comes with some default RemotePass Insructions that you switch on or off and edit, learn more here about the difference between RemotePass instructions and custom instructions.

Setting up the Payroll Agent

  1. Go to Agent Hub in the main navigation menu.

  2. On the Payroll Agent card, click Set up agent.

  3. In the text field, type your instruction in plain language. For example:

    • "Flag any payment that is more than 25% higher than the same contractor's payment last month."

    • "Flag all first payments for contractors who joined in the last 30 days."

    • "Flag any expense claim submitted more than 31 days after the expense date."

  4. Review the logic before saving. Check that the agent has pulled from the correct policy and that the flag condition matches your intent. You can add additional conditions or adjust the wording before confirming.

  5. Save the instruction.

You can also start from a suggested prompt and be live in just a few clicks.

How instructions are applied

RemotePass instructions run in parallel, each checking independently and flagging anomalies for your review. Custom instructions run alongside them the same way. Because the Payroll Agent never auto-approves or auto-declines a payroll run, every instruction that matches, default or custom, simply adds its flag to the list for you to review. Nothing is decided automatically; the final call on every flagged item stays with you.

Available conditions

When writing your instructions, you can reference any of the following conditions:

  • Payment type — salary, bonus, commission, adjustments, and the rest

  • Worker type — limit to specific contract types

  • Amount — compare the payment against a fixed threshold

  • Deviation from contract — compare the payment against the contracted amount, in percent

  • Country / Entity — limit to specific countries or entities

  • Currency — limit to specific contract or payment currencies

  • Contract tenure — require a minimum time on the contract

  • Recent payment count — cap by number of recent payments
