Time Tracking
Use Time Tracking to monitor your workers’ regular and overtime hours. Track attendance, set approval flows for all time entries, receive real-time notifications, and automatically convert approved entries into payroll payments
Create a Time Tracking Policy
Go to Company Settings, then on the slider menu, under “More” tab, you will see the individual menu item; “Time Tracking”.
If this is your first time configuring the Time Tracking schedule for your client account, then you will only see the default policy created by RemotePass, that is generic and useful in most cases.
Start creating a custom policy by clicking on the “Add New” button placed on right upper corner of the page.
Once you click on the “Add New” button, a new page for you to create your Time Tracking policy opens.
Select the Worker Type of Your Policy
Enter a title for your schedule.
Select the target worker type of the policy.
You cannot assign multiple worker types to one policy, but same policy configuration supports different worker types. So you can create the policy for your EoR team, duplicate and create one for your Direct Employees.
Once you select the worker type and continue, its time for creating the work schedule of the policy.
Configure the Working Schedule of Your Policy
When setting up your policy, you'll choose from three working schedule types:
Flexible — no fixed hours window; workers can clock in at any time across the day or week. You still set an expected hours target — monthly, weekly, or daily. Best for async or globally distributed teams with no set working pattern.
Schedule Window — define specific working days and hours (e.g. Mon–Fri, 9AM–5PM). Time logged outside that window won't count as regular hours unless an overtime policy is assigned.
Total Hours — set a daily hour target (e.g. 8h/day) without fixing when those hours are worked. Overtime only kicks in once the worker exceeds the defined daily total.
Flexible
There is no regular working hours window, workers can clock in 24/7.
Select the Working Hours Granularity, which stands for the expected regular working hours from the worker in a month or week. Select daily option if you have custom start and end times in each day, and we will calculate the monthly regular working hours for you.
Schedule Window
Set fixed working days and hours (e.g. Monday–Friday, 9AM–5PM)
Hours apply in each worker’s local time zone
Time outside this window is not counted as regular hours
Outside hours are payable only if an overtime policy is assigned
Total Hours
Set total regular hours per day instead of start/end times (e.g. 8h/day, or 3h Monday + 5h Tuesday)
Workers can clock in anytime during the workday
Overtime starts only when daily submitted time exceeds the defined regular hours
Quick tip: Use the Apply to All button to apply your working schedule settings across the entire policy in one go.
Once you complete your default working hour schedule, its time to proceed to setting up the overtime ruleset.
