How Does BambooHR Time off Sync Work?

Learn how to use BambooHR Time-Off Sync with RemotePass to keep leave requests, balances, and payroll aligned automatically

Overview

The BambooHR Time-Off Sync integration with RemotePass ensures that all approved leave requests flow seamlessly between the two platforms. By automating leave data, you eliminate manual updates, reduce errors, and maintain accurate payroll and balances.

You’re in Control

  • Workers are included in Time-Off Sync only if they have the Remotepass Employment Type field set in BambooHR.

  • Only administrators in both BambooHR and RemotePass can configure the integration.

  • Before or shortly after enabling Time-Off Sync, review your leave policies to make sure they are aligned across both platforms.


How Time-Off Sync Works

Automatic Sync

  • Approved time-off requests in BambooHR are synced to RemotePass every 5 minutes.

  • You can also refresh the worker and policy lists in the Time-Off module on demand.

What’s Synced

  • Upcoming, approved requests are synced to keep balances and payroll accurate.

  • Modifications and cancellations in BambooHR are reflected automatically in RemotePass.

What’s Not Synced

  • Historical leave data is not changed or re-synced.

Policy Control

  • For synced workers, RemotePass displays the time-off balances fetched from BambooHR in the worker profile and uses them to suggest payout amounts during termination. Balances refresh automatically after each sync.

  • For workers under BambooHR sync, leave requests must be submitted exclusively in BambooHR. (If a worker is synced, time-off submission is disabled on RemotePass for that worker)

Error Handling

  • Errors are displayed inline within the Time-Off lists, shown as status with explanations next to each record.

  • This makes it easy to identify issues and correct them directly from the BambooHR profile.

Termination

  • For the policies you select to be paid out in case of termination, DE and EOR worker's compensation is calculated based on the BambooHR balances.

  • This information is fetched from BambooHR as future-dated (the planned termination date) and displayed on the termination form.

  • You can always manually adjust the amount to be paid if needed.

  • We advise to double-check the balance since worker might add/cancel/edit the time-off requests and policies might change within this period.

Disable Module

  • You can pause Time-Off Sync at any time by clicking Disable Module.

  • All sync activity stops immediately until re-enabled.

Sync Frequency Summary

  • Time-Off Requests: Every 5 minutes.

  • Workers & Policy Lists: Daily or on demand.


Limitations

  • Historical time-off records are not synced.

  • Workers not included in the sync can still request leave directly in RemotePass.


Frequently Asked Questions

I don’t see my workers in RemotePass — what should I do?
Check that you’ve added the Remotepass Employment Type custom field in BambooHR with the correct configuration. Make sure the worker’s profile has this field set under Job → Job section as either Contractor, DE, COR, or EOR. You should also check the workers list under the Time-Off module and filter for Discarded workers to confirm if the employee is listed there.

How often does time-off sync run?
Approved requests sync every 5 minutes. Worker and policy lists update daily or on demand.

What happens if a worker updates or cancels an approved time-off request?
Once the updated or canceled request is re-approved in BambooHR, the changes are synced to RemotePass automatically.

What happens if there’s an error?
Errors appear inline next to each record in the Time-Off lists, with explanations and links to the relevant BambooHR data.

Why the balance displayed on RemotePass is different than BambooHR?
RemotePass displays the BambooHR balance as of today. Due to accrual rules or pro-rated calculations and future-dated approved requests, there might be differences between the displayed balances on BambooHR and RemotePass. We get and display the the worker balance future-dated once you select the termination date, on the termination form.
