Before you can activate any agent, you need to have the relevant policy set up in RemotePass first. The Time Off Agent requires a time off policy, the Expenses Agent requires an expenses policy, and the Payroll Agent requires a payroll policy. Each agent pulls from your existing policy. If the policy is not in place, the agent cannot be configured.
What is AI Agents Hub?
AI Agents Hub lets you configure agents that handle recurring approval workflows on your behalf, including time off requests, expense claims, and payroll review, without you needing to review every single one manually.
You set the instructions in plain language. The agent follows them. Anything outside your instructions comes to you with a clear explanation of why.
How agents work
Agents follow a simple, ordered logic:
A request comes in.
The agent checks your instructions, top to bottom.
If a request matches an instruction, it is approved, declined, or flagged automatically.
If no instruction matches, the request is sent to you for a decision along with the agent's reasoning.
Every decision is logged permanently, with the instruction that triggered it visible at any time.
The order of your instructions matters. The agent works through them in sequence and applies the first match it finds.
What agents are available?
RemotePass currently offers three agents:
Time Off Agent handles time off requests based on instructions you define around leave type, duration, notice period, contract type, and more.
Expenses Agent reviews expense submissions based on instructions you define around amount thresholds, categories, and vendors.
Payroll Agent flags anomalies in payroll runs for your review before a cycle closes. The Payroll Agent does not auto-approve or auto-decline. Every final decision is made by the reviewer.
Example use cases
Managing leave across a distributed team
I set an instruction on the Time Off Agent: "Approve all annual leave requests of 3 days or less where the team member has at least 5 days of balance remaining and gave at least 5 business days' notice." Over the following month, 18 requests matched and were approved automatically. I only stepped in for the 4 that fell outside it: a two-week leave request, a last-minute submission, and two low-balance cases.
Cutting through a high-volume expense queue
I set an instruction on the Expenses Agent: "Approve any SaaS subscription expense under 100 euros submitted by a full-time employee." Every qualifying submission cleared without manual review. Travel, accommodation, and anything above the threshold still came to me, but the weekly queue dropped by more than half.
Why use agents?
Routine approvals take up a disproportionate amount of time for HR and finance teams. Agents handle the straightforward cases automatically, so you only spend time on the ones that genuinely need a human decision.
