The Time Off Agent reviews incoming time off requests and approves or declines them based on the instructions you set up. You define the criteria in plain language and the agent handles the rest.
Requests that match an instruction are processed automatically. Requests that do not match any instruction come to you for a decision, along with the agent's reasoning.
How the agent works
A time off request comes in from a team member.
The agent checks your instructions, top to bottom.
If the request matches an instruction, it is approved, declined, or flagged based on your instruction.
If no instruction matches, the request is escalated to you with context.
Every decision, whether approved, declined, or escalated, is logged permanently with the instruction that triggered it visible at any time.
The order of your instructions determines priority. The agent applies the first matching instruction it finds.
Example use cases
Automating routine annual leave
I set the instruction: "Approve all annual leave requests of 3 days or less where the team member has at least 5 days of balance remaining and gave at least 5 business days' notice." The agent handled every matching request automatically. I only stepped in for longer requests, low-balance cases, and last-minute submissions. The weekly approval queue dropped by more than half.
Separate instructions for different contract types
I set two instructions: one that approves sick leave of up to 2 days for employees automatically, and a separate instruction scoped to contractors that sends all sick leave requests to manual review. The agent applied the right instruction to the right group. I no longer had to check contract type on every submission before making a call.
What conditions can you set?
When writing your instructions, you can base them on any of the following:
Tenure how long the team member has been with the company
Balance check whether the team member has enough leave balance
Minimum balance a floor to maintain after the leave is taken
Notice period how far in advance the request was submitted
Duration the number of days requested
Country where the team member is based
Contract type whether the team member is an employee or contractor
