What is AI Agents Hub?
AI Agents Hub is where you set up and manage agents that handle routine approval workflows automatically — time off requests, expense claims, and payroll review. You write the instructions in plain language, approve the logic the agent generates, and it handles matching requests from that point without manual review.
Which agents are available?
Three agents are available from the Agents Hub:
Time Off Agent — auto-approves, auto-declines or flags time-off requests based on instructions you set
Expenses Agent — auto-approves, auto-declines or flags expense claims based on instructions you set
AI Payroll Agent — flags anomalies in payroll runs for your review before the cycle closes. The Payroll Agent does not auto-approve or auto-decline — every final decision is made by the reviewer
How do I write an instruction?
Type your instruction in plain language, the same way you'd explain it to a colleague. For example: "Approve all annual leave requests of 3 days or less with at least 5 business days' notice." The agent generates the logic from your description and shows you exactly what it understood before anything goes live.
Do I need to approve every request the agent handles?
No, that is the point. Once you approve an instruction and it is live, the agent handles every matching request automatically without asking for your review each time. Non-matching requests still come to you as normal.
What happens if I have overlapping instructions?
If a new instruction overlaps with an existing one, the instruction that is placed higher on the priority list will run.
Can I have more than one instruction running at the same time?
Yes, there is no maximum number of instructions per agent. Instructions are applied in the order you set them — the agent works top to bottom and applies the first match it finds. Order matters.
Can I turn off an instruction without deleting it?
Yes. Use the toggle on any instruction to switch it off. The instruction stays saved but is not applied while it is off. You can re-enable it at any time.
Where can I see what the agent has done?
Every automated decision is recorded permanently in the decision log — what was approved, what was declined, which instruction triggered the outcome, and when. The log cannot be altered. Access it from the agent screen by clicking Activity in the top right.
Can I override an automated decision?
Manual override of an auto-decision is not available in the current release. If an instruction produced an unexpected outcome, edit or disable the instruction to prevent it from firing again.
Is Agents Hub an add-on?
No. Agents Hub is included in the base RemotePass product at no additional cost.
Does the agent learn or update its own instructions?
No. The agent runs the logic you approved. It does not learn from decisions or modify its own instructions. Only you can add, edit, or disable instructions.
Are team members notified when a request is auto-approved or auto-declined?
Yes. Team members receive the same automated notifications they would for a manual decision. There’s no change to the notification behaviour they already experience.
