How to Create Custom Fields on Workday

To let RemotePass identify how each of your team members is engaged - Contractor, Direct Employee, or EOR - you'll need a custom field on the Worker object in Workday.

In this guide, you will create a custom field called RemotePass Employment Type with three values: Contractor, Direct Employee, and EOR - and then tag your workers with the right value.

Step 1: Create a Custom List

The custom list holds the values your custom field can take.

  1. In the Workday search bar, search for Create Custom List and open the task.

  2. Enter a name for the list (e.g., RemotePass Employment Type Values). Note that this is the name of the list, not of the field itself.

  3. Add the three list values: Contractor, Direct Employee, and EOR.

  4. Click OK to save the list.

Step 2: Create a Custom Object on the Worker Object

Next, create the custom field itself and attach it to the Worker object.

  1. In the Workday search bar, search for Create Custom Object and open the task.

  2. Set the Workday Object to Worker, and enter the name of the custom object: RemotePass Employment Type. This corresponds to the name of the custom field you want.


  3. Go to the Field Definition section and add the Field Label — the name of the custom field (e.g., RemotePass Employment Type).

  4. In the Field Type, search for and select the custom list you created in Step 1.

5. Proceed to the Permissions step. In the Security Domains section, make sure Person Data: Personal Data is included among the domains you add, as shown in the screenshot below.

Important: This domain is what allows the integration to read the field. RemotePass connects to Workday through an Integration System User (ISU) whose security group is granted access to Person Data: Personal Data as part of the standard setup — if the custom object is not placed in this domain, the field will sync back empty even though everything else is configured correctly.


6. Proceed through the next steps and click OK.

7. You will be taken to the Activate Custom Object screen. Enter the Display Value as shown below:


8. Click OK, then Done.

That's it! Your custom field is now live on the Worker object.

Step 3: Assign the Custom Field to a Worker

Now tag each worker with the value that matches how they're engaged.

  1. Go to any worker's profile and click Actions. A dropdown of all possible actions will appear.

  2. Scroll down the list to Additional Data and click Edit.

3. Enter the name of the custom object you created in Step 2 (RemotePass Employment Type).

4. You will see the values from the custom list you created in Step 1. Choose the value that applies to this worker — Contractor, Direct Employee, or EOR — and click OK.

Repeat this for each worker you want RemotePass to sync.

Tip: Make sure every worker you want to manage through RemotePass has a value assigned — workers without a value may not be classified correctly during the sync.

Troubleshooting: If the field appears empty after connecting to RemotePass, ask your Workday administrator to run View Security for Securable Item on the custom object and confirm the integration user's security group has Get access to one of its security domains. If not, add it via Maintain Permissions for Security Group, then run Activate Pending Security Policy Changes.
