How to Connect SuccessFactors to RemotePass?

Learn how to sync your worker data to RemotePass

Follow these steps to connect your SAP SuccessFactors account with RemotePass.

1. General Setup

Before You Start

  • Administrator access: only SuccessFactors administrators can create the credentials RemotePass needs.

  • Email alignment: the email of the worker in SuccessFactors must match the email in RemotePass for workers who already exist in RemotePass.

  • Gather four values from SuccessFactors: API Server URL, Username and Company ID, and an OAuth Client ID and Client Secret.

Step 1 – Prepare SuccessFactors

  1. Client ID and Client Secret: sign in to SuccessFactors, search Manage OAuth2 Client Applications, click Register Client Application. Fill "Application Name" and "Application URL" with any value (the URL must start with https://), press Generate X.509 Certificate, fill "Common Name" with any value and save. The application's API key is your Client ID; the private key in the downloaded certificate is your Client Secret.

  2. API Server URL: open the SuccessFactors API server list, find the environment that matches your subdomain (for example, if your domain is https://salesdemo4.successfactors.com, search for "salesdemo4") and copy the full URL, for example apisalesdemo4.successfactors.com.

  3. Username and Company ID: hover over your profile picture in the upper right; your username is shown in parentheses next to your name. Click Show Version Information; the modal shows your Company ID.

  4. Custom field: create a custom field on the employee's Job Information (any name, for example EmploymentNav) and set it to EOR, DE, Contractor or COR for each employee you want to sync. RemotePass only fetches employees that have this field.

Step 2 – Connect to RemotePass

  1. In RemotePass, search "Integrations" or go to Company Settings → Integrations → Human Resources → SAP SuccessFactors → Discover, then click Connect.

  2. Confirm I am an admin. Skip the data filter step.

  3. Enter the API Server URL, then your Username and Company ID, then the Client ID and Client Secret.

  4. Wait while RemotePass sets up your account and fetches your custom fields.

Step 3 – Map the Employment Type field

  1. In Add mapping, search your SuccessFactors fields for the custom field you created (for example employmentNav) and name the target field remotepass employment type.

  2. Click Advanced mapping, select the field's value in the sample record, and click Save. (e.g. "$.results[0].customString5Nav.externalCode")

  3. Click Save on Map additional fields. You will see Success! You've connected your account, and the integration page opens with Workers sync is in progress. The initial synchronization runs in the background and can take from a few minutes to an hour depending on your data size; you will receive an email when it is ready.


2. Worker Data Sync

  1. On the SAP SuccessFactors integration page, click Enable for Workers Sync.

  2. Review the field mapping. First name, last name and email are required; start date, job title, employment type, nationality, salary and tax country are recommended. The more you map, the less you enter by hand at contract creation.

  3. Click Continue. RemotePass fetches all eligible workers that do not yet exist in RemotePass and lists them under Imported Workers. Loading all workers can take a few minutes.

Creating a Contract with SuccessFactors Data

  1. Under Imported Workers, click Complete on a worker. The contract type follows the worker's Employment Type value.

  2. Review the pre-filled form. Salary, currency, start date and pay frequency come from SuccessFactors; fields that were not mapped, such as scope of work or notice period, are entered manually or added to the mapping.

  3. Click Create. Select several workers and click Create Contracts to do this in bulk. (Bulk contract creation is available only for DE, Contractors and CoR)

3. Enabling Time-off Sync

  1. On the integration page, click Enable for Sync Time-off Requests.

  2. In Select Worker Types to Sync, switch on the contract types to track (Fixed, Pay As You Go, Milestone, EOR, Direct Employee) and click Continue.

  3. Click Manage to open the Time-off Sync page. The Workers tab shows every synced worker.

  1. In Module Settings → Manage time-off policies sync, tick the policies whose balances are paid out at termination and click Save.

4. Enabling Cost Centers

  1. During implementation, confirm with your RemotePass contact where cost centers and projects are maintained in your SuccessFactors configuration (organizational cost centre or a Job Information field).

  2. Map the cost center and project fields in the Workers Sync mapping.

  3. Each worker's cost center and project are assigned automatically and carried onto invoice lines and reconciliation reports. A manual override remains possible per worker.

Frequently Asked Questions

A worker does not appear in RemotePass.
Two things must both be true: the worker's email matches on both systems, and the custom field is set on the employee's Job Information in SuccessFactors. If either is missing, the worker is not fetched.

Can I map more SuccessFactors fields later?
Yes. Open the integration page, go to Workers Sync and update the mapping at any time.

What if I disable a module?
Disabling stops future updates. Contracts already created remain. Disconnecting SuccessFactors stops all modules.
